Who We Are
At Civitas Strategies, we champion the forgotten backbone of our communities – micro and very small businesses that are vital to families but often lack professional support to reach their potential. For 15 years, we've focused on enterprises like child care providers, offering them free, transformative support using public and philanthropic funding. Our innovative approaches have impacted tens of thousands of organizations across 34+ states, proving that with the right partner, these essential businesses can thrive. Recent clients include The Burke Foundation in New Jersey, the State of Texas, the State of Georgia, the Women’s Economic Self-Sufficiency Team (WESST) in New Mexico, the Community Development Finance Authority in New Hampshire, and the Civil Service Employees Association (CSEA) in New York.
The Opportunity
We're seeking a Chief of Staff to help lead internal coordination and execution of key initiatives that advance our mission to strengthen small businesses and the systems that support them. This role is ideal for a calm, capable integrator who connects vision to action, aligns teams across functions, and thrives on moving complex work forward. If you’ve ever translated an idea into action, smoothed the handoff between two departments, or kept an executive team focused on what matters most—this is your lane. You don’t need to have been a COO or Chief of Staff before—if you've served as a trusted partner to a CEO, managed strategic internal projects, or helped an organization scale from the inside, you may be a great fit. Candidates with backgrounds in consulting, nonprofit leadership, education management, or cross-functional operations roles are strongly encouraged to apply.
Success in your first 6 months might look like:
You're coordinating leadership priorities, owning internal timelines and deliverables, spotting issues before they escalate, and reinforcing cultural alignment—all while gaining fluency in how our business and services create impact. You’ll play a key role in supporting the President & CEO’s vision by aligning people, systems, and communication across the company—building infrastructure that helps us grow sustainably and deliver with excellence.
What You’ll Do:
Coordinate execution across leadership priorities and cross-team initiatives
Manage internal timelines, deliverables, and communications to ensure followthrough
Plan and lead internal meetings, project reviews and check-ins, and retrospectives
Serve as a sounding board and strategy partner to the President & CEO
Help the President & CEO manage time, protect focus, and spot emerging issues early
Support culture, morale, and performance alignment across the team
Lead internal projects (e.g., onboarding redesign, delivery process improvements)
Collaborate with the full leadership team on systems and efficiency
What We’re Looking For:
Required:
5+ years in cross-functional leadership, operations, or strategic program roles
Experience working closely with a CEO, founder, or executive
Strong judgment, communication, and interpersonal awareness
Calm, organized, and confident under pressure
Business fluency—you think in terms of business models and value propositions
Eager to understand first, then shape. You respect structure—and improve it from within.
High initiative, with deep respect for organizational priorities and leadership boundaries
Experience in mission-driven organizations
Proficient with systems such as Slack, Zoom, Office, Monday.com, Harvest, Adobe
Preferred:
Familiarity with internal communication strategies, performance and/or change management, or organizational development
Background in strategic project execution or business model operations
You Might Be a Fit If You...
Are the person a CEO turns to when things feel off-track
Lead with quiet clarity and influence—not ego
Love turning ideas into execution and helping others stay aligned
Understand how internal systems and decisions affect the health of the business
Thrive on seeing progress and helping strong leadership stay focused
Want to grow with a mission-driven organization that values both strategy and care
You look for the “why” before proposing the “how”
How We Work Together
We’re a fast-moving, vision-led organization where clarity, consistency, and alignment matter. We welcome insight—especially when grounded in understanding of our structure, timing, and mission. Influence here is earned through thoughtful action. If you're energized by making things work better from within and take pride in moving work forward without needing the spotlight, you'll feel at home here.

Excellent follow-through, clarity in communication, and calm under pressure
Strong organizational skills with a systems mindset
High emotional intelligence and interpersonal judgment
Business-aware—or eager to become so. You want to understand how decisions impact organizational health
Eager to understand before improving—curious about how things work, and motivated to strengthen systems once you’ve learned the why
Proficient in systems such as Slack, Zoom, Microsoft Office, Monday.com, Harvest, and Adobe
Takes initiative without overstepping—knows when to act, when to check in
Preferred:
Experience supporting a CEO, founder, or executive
Familiarity with small businesses, nonprofits, or coaching/consulting models
Background in internal culture, change management, or performance systems
You Might Be a Fit If You...
Are often the person who “keeps it all together”
See problems and quietly start fixing them—even if they’re not “yours”
Like to understand how a business works and how your work makes an impact
Follow through without being asked twice
Don’t need a big title—you’d rather help others shine
Thrive on order, clarity, and shared priorities
Want to grow into a leadership support or Chief of Staff-style role
Enjoy improving systems—but only after you’ve taken time to understand why they exist
How We Work Together
We move fast, prioritize alignment, and believe in mutual respect across all levels. Insight is welcome—especially when paired with timing, context, and a clear understanding of the business. Creativity is valued here, but it's most impactful when built on a foundation of understanding. If you’re someone who learns before you lead, and builds within a shared vision, you’ll thrive here.
